Business Software

Before You Buy Business Software in 2026: You Usually Can't Cancel Mid-Term. Microsoft Raised Two Plans Up to 16.7%.

A software contract is where the vendor's promises stop. Most renew on their own, can't be cancelled mid-term and cap the vendor's liability at one year of fees. Here's what to read before you click buy.

Quick Verdict

Buy when the vendor gives a written post-promo price and a renewal cap, and your trial answered a real need. Start monthly if you're unsure, then move to annual after about ten months. Walk away from contracts that are non-cancelable, no-decrease and 30-day-notice with no cap, and from vendors who offer only a SOC 2 Type I or a badge.

No-email calculator

Annual or monthly billing, which is cheaper for my team

See how many months you need to use the tool for annual billing to win, and what three years costs once the price rises. Start with the monthly and annual prices.

This is a planning estimate, not legal advice. It uses list prices and leaves out tax, add-ons, seat blocks and any discount you negotiate.

You Usually Can't Leave Mid-Term

The sales page says cancel anytime. The contract says something else.

Here's what two big vendors' own terms say:

Vendor What the contract says
Salesforce Payment obligations are non-cancelable and fees non-refundable. Quantities cannot be decreased during the term.
HubSpot You may not cancel your subscription before the end of your current term. No refunds of unused fees.

Those are from Salesforce's Main Services Agreement, last updated September 1, 2026, and HubSpot's Customer Terms of Service.

A year-long contract is a year-long bill, whether you use the tool or not.

Downsizing gets penalized. Under Salesforce's terms, a renewal where subscription volume or length decreased will result in re-pricing without regard to the earlier per-unit price.

Your legal remedy is thin. Salesforce and HubSpot both cap liability at fees paid in the prior 12 months.

Google Workspace's uptime promise is 99.9 percent a month. That's about 43 minutes of downtime. If it fails, it pays 3, 7 or 15 days of service as the sole and exclusive remedy. You must request it within 30 days.

Your data window is short too. Salesforce makes customer data available for export only if you ask within 30 days after termination. After that it has no obligation to keep it.

Salesforce also says it can stop supporting non-Salesforce apps without entitling the customer to any refund.

And free trials can bite. Salesforce's trial terms make the customer fully liable for damages from trial use.

That's the pattern. The vendor's duties are limited. Yours are not. Read the order form, not the pricing page.

List Prices Right Now

These are the vendors' own pricing pages on October 19, 2026. US dollars.

Category Product Price
Accounting QuickBooks Online Simple Start, Essentials, Plus, Advanced $38, $85, $140 and $340 a month
Accounting Xero Early, Growing, Established $27, $59 and $97 a month
CRM Salesforce Sales Cloud Starter Suite, Pro Suite, Core, Advanced, Max $25, $100, $195, $395 and $550 per user a month
CRM HubSpot Free $0, up to 2 users
Project monday.com Work Management Basic, Standard, Pro $12, $14 and $24 monthly. $9, $12 and $19 annual.
Project Asana Starter, Advanced $13.49 and $30.49 monthly. $10.99 and $24.99 annual.
Chat Slack Free $0, 90 days of message history
Chat Slack Pro, Business+ $8.75 and $18 monthly. $7.25 and $15 annual.
Suite Microsoft 365 Business Basic, Standard, Premium $7, $14 and $22
Suite Google Workspace Starter, Standard, Plus $7, $14 and $22

QuickBooks lists users included at 1, 3, 5 and 25. Its page shows 50 percent off for 3 months and says no annual contract.

Xero shows new US customers 90 percent off for 6 months. The offer ends November 2, 2026. The Early plan is capped at 20 invoices and 5 bills.

Salesforce says its prices are subject to change. Its Premier success plan is 30 percent of net license fees. Add-ons start from $125 and $220.

HubSpot's Starter page shows $7 and $20 per seat without saying which applies to annual or monthly billing.

Asana sells seats in small plans first. Then it sells blocks of 5, 10 and 25 as a team grows. Its AI requests cost $0.50 prepaid or $0.60 pay as you go. monday.com's pricing grid defaults to 3 seats.

Google shows 30 percent off for 3 months and a Standard promo of $9.80 from November 2, 2026 to February 2, 2027, then $14.

Annual Versus Monthly: The Break-Even

Monthly billing costs more per seat. By how much?

Plan Monthly Annual Annual saves
Slack Pro $8.75 $7.25 17.1%
Slack Business+ $18.00 $15.00 16.7%
monday Basic $12.00 $9.00 25.0%
Asana Starter $13.49 $10.99 18.5%
Asana Advanced $30.49 $24.99 18.0%

That's our arithmetic from the vendors' pages. Google says an annual commitment saves 16 percent.

Here's the break-even on Asana Starter. $10.99 times 12 divided by $13.49 is 9.8 months. So annual wins only if you'll use the tool at least ten months.

For five seats for a year, monthly costs $809.40. Annual costs $659.40. Annual saves $150.00.

Stop after six months and monthly costs $404.70. Annual still costs $659.40. That's $254.70 of lock-in.

The discount is the price of not being able to leave.

Play with the calculator above. Change the months and the seats.

And don't forget the renewal. At a 9 percent yearly increase, three years on annual billing for those five seats costs $2,161.58.

If you're unsure, start monthly. Move to annual after about ten months of use.

Renewals: The Date You Can't Miss

Software that renews by itself will renew without you.

The notice rules:

  • Salesforce subscriptions auto-renew for one-year terms unless you give written notice at least 30 days before the end of the term
  • HubSpot auto-renews for the shorter of the prior term or one year. You must turn off the auto-renewal setting before the term ends.

Miss the date and you owe another year.

Prices move at renewal too. HubSpot may raise fees up to its then-current list price with 30 days' notice.

Vendr's 2025 report says Salesforce's standard annual uplift is 9 percent, and buyers often negotiate it to 5 to 7 percent. Vendr sells negotiation services, so treat that as a vendor claim. It isn't a Salesforce contract term.

List prices move on their own. Microsoft raised Business Basic from $6 to $7 on July 1, 2026. That's 16.7 percent. Business Standard went from $12.50 to $14. That's 12.0 percent.

For 10 Standard seats, that's $180 more a year. Our arithmetic. Microsoft's post also says nonprofit pricing will be adjusted.

To protect yourself:

  1. Write down the term length, the auto-renew length and the notice window
  2. Ask for a renewal cap in writing, as a flat percentage
  3. Put the renewal date on three calendars
  4. Ask what happens if you reduce seats

Worry if there's no cap, if the notice window is over 60 days or if an auto-renewal covers a multi-year term.

We found no vendor that volunteers a cap. You have to ask.

Security Paperwork: Type I Is Not Type II

Every vendor says it's secure. Ask for the paper.

SOC 2 is an audit report on a vendor's controls. Two versions matter:

Report What it covers
Type I How controls are designed at one point in time
Type II Whether the controls worked over a period, usually 9 to 12 months

Only a licensed CPA firm can issue either one.

Ask for the Type II report. Check its date. Check its scope too. A report can cover one product line or unit, so confirm the product you're buying is in scope.

Worry if only Type I exists, or the report is older than 12 months.

The SOC 2 facts come from Wikipedia's summary of the American Institute of CPAs' framework and the AICPA's own suite page. We found no verified 2026 case of fake reports. We won't claim one.

A badge on a website isn't a report. A report is a document you can read.

Then data handling. Ask about:

  • Export formats
  • The export window. Salesforce's is 30 days after termination.
  • Whether export costs extra
  • Each integration. Salesforce says it can stop non-Salesforce app support with no refund.

And test the export before you sign. Switching costs, like proprietary data formats, migration and retraining, are the main lock-in. Ask for a sample export.

The European Union has a rule for this. Salesforce says the EU Data Act took effect September 12, 2025, giving EU customers rights to access, transfer or delete data. We found no US equivalent.

The Cancellation Fight Is Unsettled

The law around cancelling subscriptions moved a lot, and most of it was written for consumers.

Here's the status:

  • The Eighth Circuit vacated the FTC's amended Negative Option Rule on July 8, 2025, for a missing preliminary regulatory analysis
  • The FTC restored the earlier rule text on February 12, 2026
  • It published an advance notice on March 13, 2026, with comments due April 13
  • We found no proposed rule after April

The FTC's notice asks whether abusive practices are not prevalent in business-to-business transactions between sophisticated business entities. So business coverage is an open question.

The Restore Online Shoppers' Confidence Act still applies to internet sales. The FTC calls it the only federal law primarily designed to regulate negative option marketing. Whether it reaches a business buyer isn't settled in what we read.

Two big cases show the tricks:

  • Adobe. On June 17, 2024 the DOJ, on referral from the FTC, sued Adobe and two executives over a pre-selected annual paid monthly plan. It had an early termination fee of 50 percent of remaining payments in year one, buried in small print and hover icons. It settled March 13, 2026. Headlines disagree on the amount: $150 million in one, $75 million in another. We couldn't read either article.
  • Amazon. It agreed on September 25, 2025 to pay $1 billion in civil penalties and $1.5 billion in refunds over deceptive enrollment and a hard cancellation flow, affecting about 35 million consumers.

The FTC says negative-option complaints rose from at least 33 a day in late 2020 to more than 90 a day in 2025.

Those are consumer cases. The same interface tricks appear in business tools.

State laws mostly protect consumers. California's defines a consumer as an individual buying for personal, family or household purposes. A business purchase is generally outside it. Illinois is similar.

New York's GOL 5-903 is broader. An automatic renewal clause in a service, maintenance or repair contract for property is unenforceable unless the provider sends a notice 15 to 30 days before the cancellation deadline. Whether it covers software is a legal question.

When a Vendor Changes Hands

The company you signed with may not be the company you renew with.

Broadcom closed its VMware deal on November 22, 2023. VMware ended perpetual licenses on December 13, 2023.

AT&T sued in August 2024, alleging Broadcom refused a one-year support renewal and increased prices by 1,050 percent. That's an allegation. We read it through Wikipedia's summary.

A vendor sale can rewrite your price and your terms.

Slack's free plan shows another surprise. It keeps 90 days of messages. Upgrading restores the previous 12 months. Until then, history you assumed was stored is unavailable.

Usage and AI charges are the newest surprise. Zylo's 2026 index says 78 percent of IT leaders saw unexpected charges tied to AI features or consumption pricing. 61 percent cut projects because of unplanned SaaS cost increases.

Zylo sells SaaS management and surveys large organizations. Its average annual SaaS spend of $55.7 million across 305 apps isn't a small-business figure. Don't apply it to your shop.

We found no small-business shadow IT or waste figure. The only shadow IT rate we found is 70 percent, from a Vanta survey reported by Fortune on April 29, 2026.

Who Ranks the Rankings

Best software lists are ads, often.

Wikipedia's Capterra page says vendors can list for free or pay per click for sponsored positions. They bid by category and position, and pay for leads. Those sources are older.

Capterra's own community guidelines say reviewers may get nominal incentives such as gift cards, with a reviewer source label. We retrieved that in August 2026.

The market consolidated. G2 agreed on January 29, 2026 to buy Capterra, Software Advice and GetApp from Gartner. The deal closed February 5, 2026. MarTech described Gartner's Digital Markets unit as running more like a media business driven by paid placements, lead generation and SEO.

So one company now owns the biggest small-business software directories.

G2 reviewers can earn gift cards and rewards. G2 says it screens employee and competitor reviews.

The FTC's rule took effect October 21, 2024. It bans:

  • Fake or purchased reviews
  • Incentives conditioned on sentiment
  • Undisclosed insider reviews
  • Review suppression
  • Company-controlled sites that falsely claim independence

Incentives are allowed if they're not tied to positive or negative content. Penalties are about $53,088 per violation, from a January 2025 adjustment.

A vendor may publish its own comparisons but may not present them as independent. Treat any best CRM ranking that doesn't disclose how it earns money as an ad.

A former price must be an actual, bona fide price offered on a regular basis. That's 16 CFR 233.1. We found no 2026 software-specific case.

When to Buy and What to Ask For

Timing helps less than terms. But it helps.

Fiscal year ends, from SEC filings:

  • Salesforce, Zoom and Asana: January 31
  • Microsoft and Atlassian: June 30
  • Intuit: July 31
  • Adobe: late November
  • HubSpot: December 31

Vendors often discount harder near quarter and year end. We found no vendor-neutral dataset that proves a size. Treat it as a practical lever, not a measured fact.

Negotiation can pay. Vendr reports buyers with pricing context landed 20 to 35 percent below list in 2025. That's a vendor claim.

The cheapest honest ways to buy:

  • Annual billing, if you'll use the tool past the break-even
  • Promo pricing, with the step-up date on your calendar
  • Free tiers for tiny teams. Slack Free, monday Free and HubSpot Free each cover two or more users.
  • A written renewal cap

Retail software returns are limited. Best Buy lists a 30-day full refund for Microsoft Office and exchange-only for opened physical software. Most SaaS has no refund after you start the term.

HubSpot warrants its service consistent with generally accepted industry standards. If it can't fix a non-conformance within 60 days, either party may terminate within 30 days after the remedy period.

Best time to buy: 60 to 90 days before the vendor's fiscal year end, after a trial, with a renewal cap. Worst time: during a limited-time promo with no written post-promo price.

A note on market context. Wikipedia cites an Inc. report of a roughly $300 billion software market-value drop on February 3, 2026. That is not a price forecast.

Who Should Buy Now, Wait, or Walk Away

Six rules. Each one comes from the cases above.

  1. Buy now when the vendor gives a written post-promo price and a renewal cap

And your trial answered a real need.

  2. Buy monthly first if you're unsure

Move to annual after about ten months of use. At Asana's prices that's about 18 percent cheaper.

  3. Wait if a promo ends before you can test the export

Xero's offer ends November 2, 2026. Don't let a deadline skip your test.

  4. Walk away from non-cancelable, no-decrease contracts with 30-day notice and no cap

Salesforce's terms are the example. See the payroll software guide for similar traps.

  5. Walk away from vendors who offer only SOC 2 Type I or a badge with no report

Ask for a Type II report with a date and scope.

  6. Walk away from a best software ranking that hides how the site earns money

Treat it as an ad. See the ChatGPT Teams guide for AI tools.

How We Checked It

We read vendors' own contracts and pricing pages, SEC filings, the FTC, the Federal Register and statute text. We checked them on October 19, 2026. Vendr and Zylo publish their own reports and sell related services, so we say when a figure is theirs.

Nothing here is legal advice. Ask a lawyer before you sign a large contract.

The pages we used:

What we couldn't confirm:

  • The Adobe settlement amount
  • HubSpot's Starter price and onboarding fees
  • monday.com's seat minimum
  • Whether the vacated 2024 rule reached business customers
  • Whether ROSCA reaches a business buyer
  • State business-to-business renewal laws beyond California, Illinois and New York
  • Fake SOC 2 reports in 2026
  • Capterra's own disclosure page
  • The 2026 FTC civil penalty figure
  • Small-business SaaS waste or shadow IT rates

Frequently Asked Questions

Is the FTC click-to-cancel rule in effect?
No. The Eighth Circuit vacated the amended rule on July 8, 2025. The FTC restored the older rule on February 12, 2026 and sought comment in March, but we found no new proposed rule. The Restore Online Shoppers' Confidence Act still covers online sign-ups, and the FTC has used it against Amazon and Adobe.
Can I cancel a software subscription mid-contract?
Usually not. Salesforce says payment obligations are non-cancelable and fees non-refundable. HubSpot says you cannot cancel before the end of the term and gives no refunds of unused fees. Get any early exit right written into the order form before you sign.
What is the difference between SOC 2 Type I and Type II?
Type I looks at how controls are designed at one point in time. Type II also tests that they worked over a period, usually 9 to 12 months. Ask for the Type II report and check its date and scope, because a report can cover one product only.
How much will my renewal go up?
It depends on the contract. Microsoft raised Business Basic 16.7 percent and Business Standard 12.0 percent on July 1, 2026. HubSpot may raise fees to its current list price with 30 days' notice. Vendr says Salesforce's standard uplift is 9 percent, often negotiated to 5 to 7 percent. Ask for a written cap before you sign.
Can I get my data out if I leave?
Ask before you sign. Salesforce makes customer data available for export only if you request it within 30 days after termination, then has no duty to keep it. Salesforce also says EU customers gained data access and transfer rights on September 12, 2025, but we found no US federal rule that matches.
Are software review and ranking sites independent?
Not always. Capterra has long let vendors pay per click for sponsored positions, and MarTech described Gartner's directory unit as driven by paid placements and leads before G2 bought it in early 2026. The FTC rule bans fake or bought reviews and false claims of independence.
